Where does intake break down?

Trace the path from form or call to staff response. Look for unclear ownership, missing context and inappropriate requests for sensitive details.

Discuss a project

Trace one real inquiry

Follow a typical request from the public page or phone call to the person who responds. Write down each handoff, notification and decision. This reveals whether the problem is the form, routing, unclear ownership or the steps after contact.

Collect only the first facts needed

An initial form can identify the request without becoming an evidence repository. Decide what staff need to triage and what should wait for a more suitable channel or review.

Check the exception path

Plan what happens to duplicate, urgent, out-of-scope and incomplete requests. A workflow is reliable when staff can see those cases and know who owns the next action.

Choose where the next action lives

If staff already use a case tool, the first improvement may be a better routing rule or a clearer queue there. If requests live in several inboxes, a small intake view may help. Define the record owner and a human fallback before connecting systems, so an integration failure does not silently lose an inquiry.

Test the edges

Try fictional examples of a duplicate request, an incomplete form, an inquiry outside the agency's scope and a staff absence. The test should show where each request goes and who follows up. This is often more revealing than testing only the smooth path from form to notification.

Put it into a brief

Write down one real example without confidential records or credentials. Name who will use the result, what needs to change and who will review it. Then talk through the first scope with Faith Forge Labs.
